Overcoming tech resistance and empowering carers to use new tools.

Digital transformation in care doesn’t succeed because of the systems alone.
It succeeds because the people using those systems feel confident, capable, and supported.

At Big Sister, we’ve worked with hundreds of carers across the UK — and we’ve seen it all:

  • The carer afraid they’ll “break the tablet.”
  • The team member who swears they’ll “never get the hang of this system.”
  • The manager who feels like a translator between software and staff.

But here’s the good news: even the most tech-resistant team can become a tech-confident team — with the right approach to training and support.

This blog is your guide to building digital confidence in your team, even if they’re starting from zero.

Why Tech Resistance Happens — and Why It’s Normal

Before we fix it, let’s understand it.

Care staff might resist new systems because:

  • Fear of doing it wrong
  • Feeling overwhelmed by information
  • Not enough time to learn properly
  • Low confidence using phones or tablets
  • Past experience with clunky, frustrating systems
  • Worry it will reduce the “human” side of care

This resistance isn’t laziness — it’s usually fear or frustration in disguise.
That’s why training alone isn’t enough. You need to build a culture of confidence.

Step 1: Start With the Why — Not the How

Before you train anyone on a system, explain the purpose.

  • “This tool helps us spend more time with clients, not less.”
  • “This makes it easier to track what’s working — and what’s not.”
  • “It protects you as a carer and helps keep clients safer.”

People are more open to change when they know why it matters — and how it benefits them.

Step 2: Choose Systems That Are Carer-Friendly

You can avoid half your training issues by choosing the right tech in the first place.

Look for systems that:

  • Have a clean, mobile-friendly interface
  • Require minimal typing — dropdowns, buttons, voice note options
  • Offer real-time feedback (e.g. confirming a visit was logged)
  • Work on devices carers already use
  • Have offline modes for poor signal areas
  • Include short, visual how-to videos

If your staff can’t use the system confidently in a 10-minute trial… it’s not the right system.

Step 3: Build a Simple, Supportive Training Plan

You don’t need a 30-page manual. You need a plan that’s:

  • Timely— start training before you go live, not after
  • Layered— small chunks over time, not one overwhelming session
  • Personalised— adapt pace to the learner
  • Hands-on— let them try, not just watch
  • Supported— short explainer videos they can rewatch any time
  • Responsive— time for questions, practice, and follow-up

Tip: Pair less confident carers with a “digital buddy” on the team who can support them without judgement.

Step 4: Make Tech Part of Induction — Always

Don’t wait until a staff member’s third week to show them the app.
From day one, teach:

  • How to use the care plan system
  • How to log visits and notes
  • How to flag concerns digitally
  • How to access their schedule or training via app
  • What to do if something goes wrong

Show them that using digital tools well is part of delivering excellent care — not a separate task.

Step 5: Celebrate Progress and Reward Confidence

The more we reward what we want to see, the more we’ll see it.

  • “Well done to Michaela for logging her first week of visits perfectly!”
  • “Shoutout to the whole team — 100% of notes submitted on time!”
  • “Staff training score for Q2: 98% digital compliance — incredible!”

When carers feel seen, celebrated, and supported, they become ambassadors for the system.

And when digital success is part of your culture, new staff adapt faster.

Step 6: Keep It Going — Training Doesn’t Stop at Launch

Digital confidence is a journey. Keep momentum by:

  • Hosting quarterly refreshers
  • Sharing new features and tips in team meetings
  • Offering 1:1 catch-ups for anyone who’s struggling
  • Including “digital confidence” as part of appraisals and development
  • Creating short internal videos: “How to log this,” “What to do if…”

Step 7: Lead By Example

If managers grumble about the system or still ask staff to hand-write things… carers will resist too.

But if leaders:

  • Use the same tools
  • Share data insights with pride
  • Explain how decisions are guided by system info
  • Support (not shame) staff who get stuck

Then the message is clear:
This is part of who we are — and we’re doing it together.

They don’t need to love tech.

They just need to feel confident using the tools that make their jobs easier and their care better.

Start small.
Support often.
Celebrate loudly.

When carers feel capable, clients feel the difference — and your whole business gets stronger.
